Job Description

The Engineering Services Coordinator is responsible for providing administrative support for departmental staff. Resolves complex administrative issues requiring sensitivity and tact. Serves as departmental expert on administrative policies and procedures and interprets guidelines for other. The Coordinates activities and support the key engineering functions required to support the flawless execution of the engineering project portfolio.

Essential Functions:

Supports the Director of CAPEX, Senior Project Manager; Project Manager(s) within the engineering team in planning, coordinating and tracking functional team activities, timelines and deliverables for each project.

Orients new employees and contractors on departmental procedures. Provides clarification on company policies and procedures for departmental personnel.

Act as liaison between the Project Manager, internal Project Team, and client as required to support timely communication, timely progression of project deliverables, and resolution of project issues.

Coordinate additional project management tasks and responsibilities as required. Maintain a safe working environment and reports potential hazards.

Coordinates administrative aspects of special projects and meetings. Maintains multiple calendars based on priorities and time constraints for key departmental meeting structure and track open ended items.

Prepare complex documents, presentations, reports and letters while proofreading. Checks content for errors Requires some analytical ability in order to gather and summarize data for reports. Maintains departmental organizational charts and support the tier meetings.

Administration and management of the E-Cars, Catalyst and Ariba systems.

Processes purchase requisitions based on corporate guidelines and serves as a departmental resource supporting project controls infrastructure.

Coordinate and manage project documentation, client shipments, internal files, project binders. Attend and assist in key project team meetings, client conferences and on-site visits.

REQUIRED QUALIFICATIONS

Education:

High school diploma/General Educational Development (GED) Certificate is required College/Technical School diploma in related technical field is preferred

Experience:

Minimum 5 years of previous related experience.

Equivalency:

Equivalent combinations of education, training, and relevant work experience may be considered.

Knowledge, Skills and Abilities:

Well organized, enthusiastic and detail oriented. Ability to prioritize multiple tasks. Strong interpersonal and communication skills. Excellent team player. Able to work in a fast-paced environment. Experience in a pharmaceutical environment is an asset. Familiarity with Good Manufacturing Practices is an asset. Demonstrated computer proficiency with Microsoft Office programs.

Proficiency in the English Language.

Follow all Environmental Health & Safety Policies and Procedures. Work collaboratively with fellow team members, modelling positive team principles and partnering to meet project and departmental objectives. Carry out all duties within strict compliance to Patheon quality systems Standard Operating Procedures (SOPs) and Good Manufacturing Practices

Actively engage in and adhere to departmental systems to maintain a smooth and efficient workflow (visual management, scheduling systems, etc.). Always be clients and patient conscious. Understand Key Performance Indicators and strive to improve the performance of the team by identifying areas for system improvements and engaging in problem solving. Models are positive thinking and are open to change, motivating the team to adapt to shifts in priorities and new ways of working. Proactively identify areas for improvement.

Physical Requirements:

Light physical effort and fatigue. Walks, sits or stands for limited periods. May require occasional equipment operation including keyboard equipment. Lifts light items for limited duration. Typically located in a comfortable indoor area. There may be exposure to mild physical discomfort from factors such as dust, fumes or odor's, temperature extremes, loud noise, strong drafts, or bright lights. Use of Personal Protective equipment may be required and may include any of the following: safety glasses, safety shoes, lab coat, gloves, hair net, beard cover, safety apron, respirator on occasionally.
